This Privacy Policy explains how ChipRegister.com collects, uses, stores and protects personal information.

ChipRegister.com operates an international digital pet identification and microchip registration platform from Spain.

2. Scope of this Policy

This Policy applies when you visit or use ChipRegister.com, create an account, register a pet, upload photographs, search for a microchip, report a found pet, make a payment, request support or otherwise interact with our services.

3. Information we collect

3.1 Owner and account information

We may collect:

  • first and last name;
  • email address;
  • telephone number;
  • country and preferred language;
  • address, city, region and postal code when voluntarily provided;
  • account credentials and security information;
  • communications sent to our support team.

3.2 Pet registration information

We may collect:

  • pet name, species, breed and sex;
  • date of birth and weight;
  • microchip number;
  • implant country and implant date;
  • veterinarian or clinic information;
  • coat colour, markings and physical features;
  • personality and behaviour information;
  • medical information voluntarily supplied by the owner;
  • additional identification notes;
  • photographs and uploaded documents;
  • pet status, such as safe, missing, found or deceased.

Information about an animal is not normally personal data by itself. It may, however, become personal data when connected to an identifiable owner or another individual.

3.3 Payment information

We may process or receive:

  • payment method;
  • transaction amount and currency;
  • payment status;
  • transaction and payment processor references;
  • blockchain transaction references and wallet information when USDT is used;
  • information required to investigate fraud or disputes.

Complete payment-card numbers and card security codes are processed by the payment provider and should not be stored directly by ChipRegister.com.

3.4 Found-pet reports

A person reporting a found pet may provide their name, email, telephone number, country, city, message, photographs and other information relevant to returning the pet.

3.5 Technical information

We may automatically collect:

  • IP address;
  • browser, operating system and device information;
  • language and approximate region;
  • access dates and times;
  • pages and functions used;
  • session identifiers;
  • security logs and error reports;
  • cookie and consent preferences.

4. Why we use personal information

We use information to:

  1. create and administer user accounts;
  2. register pets and associate them with microchips;
  3. generate ChipRegister IDs, QR codes and registration certificates;
  4. provide microchip search and verification services;
  5. facilitate contact when a missing animal is found;
  6. send service, security and found-pet notifications;
  7. process payments, refunds and disputes;
  8. provide customer support;
  9. prevent duplicate, fraudulent or abusive registrations;
  10. protect users, animals and the platform;
  11. meet legal, accounting and tax requirements;
  12. improve platform reliability and functionality;
  13. send promotional communications only when legally permitted or consented to.

5. Legal bases

Depending on the circumstances, we process personal information on one or more of the following bases:

  • Performance of a contract: to provide the registration and related services requested by you.
  • Legal obligation: to comply with tax, accounting, judicial and regulatory duties.
  • Legitimate interests: to secure the platform, prevent fraud, provide support and improve our services, provided those interests are not overridden by your rights.
  • Consent: where you voluntarily provide optional information, request marketing or enable a consent-based feature.
  • Vital interests: in exceptional urgent situations involving the safety of a person or animal.

6. Public and private pet information

A public or limited pet profile may display selected information necessary to recognise and safely return the pet, including:

  • pet name and photograph;
  • species and breed;
  • physical description and identifying features;
  • safe-approach or behavioural information;
  • missing or found status;
  • a protected method for contacting the owner.

We do not intend to publicly display the owner's complete street address, private account credentials or full payment details. Email addresses and telephone numbers should be protected unless the owner expressly chooses otherwise.

7. Medical information

Pet medical information is optional. An owner may authorise its disclosure to veterinarians, shelters or persons assisting the pet in an emergency.

ChipRegister.com does not provide veterinary diagnosis or medical advice. The owner remains responsible for keeping medical information accurate and current.

8. Sharing information

We may share information, where necessary, with:

  • hosting, infrastructure and backup providers;
  • payment providers such as Stripe;
  • email and notification providers;
  • security, fraud-prevention and analytics providers;
  • technical support providers;
  • veterinarians, shelters or organisations authorised by the user;
  • professional advisers, auditors and lawyers;
  • authorities where disclosure is legally required;
  • a purchaser or successor in connection with a merger, acquisition or business transfer.

We do not sell personal information as an independent commercial activity.

9. Payments and blockchain information

Card payments are processed by third-party providers and are also subject to their privacy policies.

USDT transactions may be recorded on a public blockchain. Blockchain transaction records can be permanent, visible to third parties and outside the exclusive control of ChipRegister.com.

10. International transfers

Service providers may process information outside Spain or the European Economic Area. Where required, we use legally recognised safeguards such as adequacy decisions, standard contractual clauses or another lawful transfer mechanism.

11. Data retention

We retain information only for as long as necessary for the purposes described in this Policy, including:

  • account and pet information while a registration remains active;
  • certificate and change history where needed to demonstrate authenticity, ownership claims or version history;
  • payment information for legal, accounting and dispute periods;
  • found-pet reports while the case is active and for a reasonable anti-abuse period;
  • technical and security logs for a proportionate security period;
  • backup copies until overwritten through the normal backup cycle.

When information is no longer required, it will be deleted, anonymised or access-restricted.

12. Security

We use reasonable technical and organisational safeguards, which may include:

  • encrypted connections;
  • access controls;
  • hashed passwords;
  • administrative access restrictions;
  • security logging;
  • backups;
  • upload validation;
  • software maintenance and monitoring;
  • separation of public and private information.

No internet service can guarantee absolute security. Users must protect their email accounts, passwords and devices and notify us of suspected unauthorised access.

13. Your data-protection rights

Subject to applicable law, you may request:

  • access to your personal information;
  • correction of inaccurate information;
  • deletion;
  • restriction of processing;
  • data portability;
  • objection to certain processing;
  • withdrawal of consent;
  • information about recipients of your data.

Requests may be sent to privacy@chipregister.com . We may request reasonable information to verify your identity.

You may also lodge a complaint with the Spanish Data Protection Agency or another competent supervisory authority.

14. Account and profile deletion

Deleting an account does not necessarily result in immediate deletion of every record. We may retain limited information where necessary for:

  • legal and tax obligations;
  • fraud prevention and security;
  • legal claims and disputes;
  • certificate revocation, replacement and verification history.

15. Children

Paid registrations must be made by an adult or a person legally authorised to enter into the transaction. We do not knowingly request personal information from children without an appropriate lawful basis.

16. Cookies

ChipRegister.com may use strictly necessary, functional, analytical and, when authorised, marketing cookies. Further information will be provided through a separate Cookie Policy and consent-management interface.

17. Changes to this Policy

We may update this Policy for legal, technical or operational reasons. Material changes may be communicated through the platform, by email or through a new consent request where required.
